How do I invoice a sponsor or vendor?

Bill sponsors, vendors, and exhibitors from an event. They pay online and every payment lands in your Finance numbers.

Sponsors, vendors and exhibitors often pay by invoice. Every organizer can now bill them right from the event. They pay online with any payment method you accept, and the payment is recorded in Finance for you.

How do I create an invoice?

Open your event and go to Finance › Invoices. Select New Invoice. The invoice number is assigned when you send it.

  • Bill to. Pick a vendor from your list to fill in their details, or type the company, contact name, email and billing address. The invoice and receipt go to that email. You can add up to five people on CC, and they're copied on everything.

  • Line items. Add a description, quantity and unit price for each item. Select Add Line Item for more.

  • Discount. Choose None, Amount or Percentage.

  • Fees. Under Who pays processing fees?, choose Payer (added to their total) or You (deducted from your payout). The payer can cover them only when your Stripe account is in the US or Canada.

  • Details. Set the payment terms (it starts at Net 30, and the page shows the due date) and add a PO number if they gave you one.

  • Message. Optional. It shows in the email as a message from you.

The Invoice Summary panel shows your line items and the amount due. When you're ready, use View Preview to see exactly what the payer will get, Save Draft to come back later, and Send Invoice to send it. You'll confirm the email, amount and due date first. Sending gives the invoice its number, emails it with a PDF and a pay link, and records it in Finance › Income. After that you can change only the payer details, terms and message. To change the amounts, void it and send a duplicate.

What will my payer receive?

An email and a PDF. The subject names your organization, the amount and the due date, for example "Invoice from Linden Hall Live: $100.00 due November 21, 2026." The email lists your line items and the amount due, with a View Invoice button to pay online, and says a receipt follows once the payment is processed. If your payer replies to the email, the reply comes to you.

How can they pay?

On the pay page they can use any payment method you accept, including card and the wallets and pay-later options you've turned on. If your Stripe account is in the US, they can also pay straight from their bank account (ACH). For the methods you can offer, see How do I offer other payment methods at checkout?

What will the payer actually pay?

Eventrise charges 0.5% of each paid invoice, much less than the ticket fee. Stripe's processing fee is added when the invoice is paid and depends on the method the payer picks. The preview shows the total for each way they can pay. If the payer covers the fees, a $100.00 invoice comes to $103.82 by card or $101.32 by bank (ACH). If you cover the fees, the payer pays exactly the invoice amount and the fees come out of your payout. Outside the US and Canada, you always cover the fees.

Does Preview send anything?

No. Preview only shows you the email and PDF. It does save your work as a draft, so you'll find the invoice waiting in your list. Nothing goes to the payer until you select Send Invoice. From the preview you can also select Download PDF or Send invoice.

How do I keep track of invoices?

The Invoices page shows what's outstanding, what's overdue and what's paid, and you can filter by Draft, Open, Overdue, Paid and Void.

How do I send a reminder?

Reminders don't go out on their own. Open the invoice and select Send Reminder. The payer gets the invoice again with the pay link and PDF, and the reminder shows in the invoice's Activity. You can send one every 24 hours, up to 10 per invoice.

How do I void an invoice?

Open the invoice, select the ••• menu, then Void. Add a reason if you like (it stays on the invoice), and choose whether to email the payer to say it was voided. The pay link stops working and the invoice leaves Finance › Income. Voiding can't be undone, so to bill again, select Duplicate from the same menu.

You can delete a draft, but not an invoice you've sent. A sent invoice stays in your list, and voiding is how you cancel it.

Where do the payments go?

Every payment lands in Finance, next to the rest of the event's money. See How do I track a show's income and expenses?
